Rooms

Add rooms or stations, link them to offerings, and Booklink only offers times when a room is free. Choose whether clients see the room name.

Last updated

If your team shares a limited number of treatment rooms, chairs or studios, add them as rooms. When an offering needs a room, Booklink only offers a time when one of its rooms is free, so you never book three facials into two rooms.

Adding rooms

  1. 1

    Open Rooms

Go to Rooms in the Manage section of the sidebar.
  2. 2

    Add a room

Type a name under New room, for example "Studio A" (up to 64 characters), and click Add.
  3. 3

    Order them

Drag rooms to reorder them. This sets the order in which they are given to bookings: the first free room in the list is used.

Click a room's name to rename it. Switch a room off to take it out of use without deleting it, or delete it with the bin icon.

Linking rooms to an offering

Open the offering and go to Team & rooms. In the Rooms card, tick the rooms this offering can use. Leave them all unticked if the offering needs no dedicated room. Only active rooms can be ticked.

Each booking takes one room for its full length. A time is only offered on your booking page when at least one of the offering's rooms is free. For a group session, pick its room on the session's edit page.

When no room is free

If you book a client yourself at a time when every room for that offering is taken, Booklink says No room is free at that time. Free a room, choose another time, or tick Override availability, which books without a room when none is free. See Why a time shows as unavailable.

Room names in emails

Once you have a room, the Rooms page shows a Show room name to customers switch. When it is on, the room is added to the client's confirmation and reminder emails and to the calendar invite. Turn it off if your room names are for internal use only. Your own notification emails always show the room.
