Waitlists and multi-spot bookings

Let clients join a waitlist when a group session is full, promote them into a spot, and let one booking reserve several spots.

Last updated

Two settings help group sessions fill up: a waitlist for when a session is full, and multi-spot bookings so a client can book for a friend or the whole family in one go. Both are set per offering, in the Group sessions section of the offering's page.

Turning on the waitlist

Open the offering, go to Group sessions and switch on Allow waitlist when sessions fill up in the Waitlist card. Save with the bar at the bottom of the page.

When a session is full, your booking page then shows it as Full, waitlist open with a Join waitlist button instead of Sold out. Clients leave their name, email and phone, and how many spots they need if the offering allows several. Booklink tells them it will email them when a spot opens up. A client who is already booked or already on the waitlist for that session cannot join twice.

When a spot opens up

When someone cancels, reschedules out of the session, reduces their spots, or an unpaid booking runs out of time, Booklink emails the people on the waitlist in the order they joined, as long as the spots they asked for fit. It stops at the first person whose request does not fit, so nobody jumps the queue. The email links to your sessions, and the client books the spot themselves. Spots are not held for them, so the first to book gets it.

Raising a session's capacity does not email the waitlist. Promote people yourself instead.

Seeing and promoting the waitlist

Open the session. The Waitlist card lists everyone waiting, with the spots they asked for and a Waiting or Notified tag (Notified means they were already emailed about an open spot).

To give someone a place, click Promote. Their entry becomes a confirmed booking for the spots they asked for, and they are emailed a confirmation with a manage link, unless you tick Don't send a confirmation email to the client. If promoting would go over the capacity, Booklink warns you and asks you to confirm that the team member can fit them in.

When a session is cancelled

Cancelling a session emails everyone on its waitlist that the session is cancelled, and clears the waitlist. The cancel window tells you how many people will be told. Your cancellation reason is included only if you share reasons with clients. The same happens when a session is cancelled automatically for not reaching its minimum number of attendees.

Booking several spots at once

In the Multi-seat bookings card, switch on Allow booking multiple spots and set the Maximum spots per booking (2 or more). Clients then choose how many Spots they want, up to that maximum or the spots left, whichever is lower. The price is per spot.

From their manage-my-booking link, a client can reduce the number of spots on a booking that has not been paid, within your cancellation rules. The freed spots open up for others. To change a paid booking, they need to contact you.

When you add someone yourself with Add Attendee, the same Spots choice appears.

Coupons on multi-spot bookings

A coupon comes off the whole booking once, however many spots it covers. See Coupon codes.
