When a client wants a head massage instead of a full body massage, or would like a pedicure added to their nails, you can change the services on the booking itself. There is no need to cancel and book again: the booking keeps its link, its notes and what the client has paid, and the client gets one updated confirmation.
How to edit the services
- 1
Open the booking
Click the booking in your calendar to open its detail page. - 2
Click Edit services
Click Edit services next to Reschedule. - 3
Change the services
- Pick a different service from the list, and its option if it has more than one.
- Click Add another service to add one. One team member does them back to back, and the booking gets longer to fit. A booking can hold up to 10 services.
- Use the remove button beside a service to take it off the booking.
- Tick, untick or change the extras under each service.
- 4
Check the price and save
Booklink works out the new price as you go. Check it, then click Save.
In the Booklink app, open the booking, tap More actions and choose Edit services. You get the same choices, with a Tell the client switch for the updated confirmation.
Services and their extras
Extras belong to their service, so when you pick a different service on a line it starts with no extras. Choose the ones the client wants for the new service. See Extras.
If an extra on the booking has since been removed from the offering, Booklink warns you that it is no longer offered and will come off the booking when you save. The total time for all the services shows under the list.
Only services held in the same kind of place can be swapped in: at your business, at the client's address, or online. Group classes are not in the list, since a seat moves to another session instead.
Moving the time
The booking keeps its start time, and its end time follows the new length. To move it as well, tick Move it to a different time too and pick the date and time.
A longer booking may run into the team member's next booking, their working hours or a room. Booklink tells you when it does. Tick Override availability to save it anyway. Editing the services never counts towards the client's own reschedule limit.
Who the booking goes to
The booking stays with the same team member when they offer every service on it. When they do not, Booklink hands it to a team member who does, and the price summary says who it goes to.
To choose the team member yourself, use the Team Member list in the dialog. Only users whose access lets them manage the team (Team set to Manage) can give a booking to a different team member. Everyone else leaves it on Auto-assign. See Team permissions.
The new price
Before you save, Booklink shows what the booking was and what it costs now, and sets that against what the client has already paid:
- Balance to collect: the new total is more than they paid. Collect the rest in person and add it with Record payment on the booking.
- Overpaid: the new total is less than they paid. Refund the difference the way you normally would. Booklink does not refund it for you.
What the client has already paid never changes when you edit the services.
Coupons. A coupon on the booking stays on when it covers the new services, and the summary says it still applies. When it does not cover them, for example a coupon for nails only on a booking that is now a massage, it comes off. The summary says so before you save, and the coupon use is given back.
Custom price. Type an amount under Custom price (optional) to charge something else. For several services, it is the total for all of them. Extras are added on top at their own price. Leave it empty to use the list prices. A booking that had a custom price starts from the list price for its new services, so type the custom price again if it should still apply.
Telling the client
The client gets an updated confirmation by email with the new services, the new time if it moved, the new total and anything still to pay. If you send WhatsApp messages for changes to bookings, they get a WhatsApp update too.
To leave the client out of it, tick Don't send the updated confirmation to the client. For a booking that is already over, this is ticked for you, since you are usually correcting your records.
If you use webhooks, each change sends a booking.updated event. See Webhook event reference.
When Edit services is not offered
Seats in a group class move to another session instead, and bookings paid with a package or with a payment still in progress cannot change their services. For those, cancel the booking and book again.
