Zoom and Google Meet Video Calls

How Booklink adds a Zoom or Google Meet link to online bookings, and how to connect Zoom for a team member.

For services you deliver online, Booklink can add a video call link to every booking automatically. Each booking (or each group session) gets its own Zoom or Google Meet link, and the client gets it in their confirmation email with no copying and pasting on your side.

Connecting Zoom for a team member

    Open the team member's Video calls section

    Navigate to Team & hours, open the team member, then go to Video calls.

    Click Connect Zoom

    Click the Connect Zoom button. You will be redirected to Zoom's sign-in and consent screen.

    Sign in and allow access

    Sign in to the Zoom account this team member should use for meetings. Review the permissions Booklink is requesting, then click Allow.

    Zoom is connected

    You are returned to the team member's Video calls section, which now shows the connected Zoom account.

Turning it on per service

Open the service and go to Service details. Switch on Add a video call link to each booking and save.

Booklink picks the provider from the assigned team member's own connections: Zoom is used when the team member has Zoom connected, and Google Meet is used when only Google Calendar is connected with event creation enabled. When a team member has both connected, Zoom is used by default. Anyone with Settings: Manage can change this from the team member's Video calls section.

Changing a booking's video call

A confirmed booking (or a group session) with a video call shows a Change button next to it on the booking or session detail page. Use it to switch to a different connected provider, retry a failed link, or remove the call. Tick Notify the client (Notify attendees for a session) to send the updated link by email, and by WhatsApp too when WhatsApp notifications are on, then save.

Reconnecting Zoom

Zoom stopped accepting the connection

If Zoom stops accepting the connection, for example after access was removed from the Zoom account or the app was removed from the team member's Zoom profile, the team member's Video calls section shows a Zoom disconnected this member alert. Click Reconnect Zoom and sign in again. Meetings already created keep working; only new bookings need the reconnect.

Good to know

  • The join link is included in the client's confirmation email, reminder emails, the WhatsApp message button, and the client's manage-booking page.
  • Zoom meetings are created with the waiting room switched on.
  • Disconnecting Zoom from a team member does not remove links already sent to clients; it only stops new bookings from using Zoom.
